Privacy Policy
This Privacy Policy explains how MANO, operated by Emmanuel Onuoha trading as Mano.ai, collects, uses, and protects your data. We are the data controller under UK GDPR for account and platform data.
1. What We Collect
We collect and process:
- Account data: name, email address, organisation, plan, referral code
- Deal and pipeline data you enter into the platform
- Calendar booking details (customer name, phone, appointment time)
- Smart Send interaction events and link-click data
- Connect messages between users within an organisation
- Feedback submissions and file attachments
- Analytics events: feature usage, active sessions, navigation patterns
- Browser preferences stored locally (e.g. mobile notice dismissed, theme)
2. How We Use It
To operate and improve MANO; authenticate your account; power AI features; deliver Smart Send booking pages; generate usage analytics; process referrals; send notifications; and comply with legal obligations.
3. Lawful Basis (UK GDPR)
Contract performance (to provide the service you signed up for); legitimate interests (security, analytics, fraud prevention, product improvement); consent (where you enable optional features); and legal obligation.
4. Customer Data You Enter
Where you input your customers' personal data into MANO (names, phone numbers, vehicle details, financial information), you are the data controller for that data. Mano.ai acts as a data processor on your behalf. You are responsible for ensuring you have a lawful basis under UK GDPR to process that data through our platform.
5. Third-Party Processors
- Supabase — database, authentication, and file storage
- OpenRouter / DeepSeek — AI assistant processing
- Cloudflare — infrastructure and DNS
- DVLA MOT API — vehicle MOT data lookups
- FCA Register API — firm authorisation lookups
- Formspree — email notification delivery
Each processor has its own privacy policy and data processing terms.
6. Data Sharing
We do not sell personal data. Data is only shared with the processors listed above or where required by law. Business and Enterprise administrators may view data for users within their organisation.
7. Referral Data
When you sign up via a referral link, we record the referrer's ID and your account ID to attribute the referral. Referral codes are stored on your profile and used only to generate your shareable link.
8. Cookies and Local Storage
MANO uses browser local storage to persist session preferences (not tracking cookies). Analytics are collected via server-side event logging rather than third-party tracking scripts.
9. Data Security
We use HTTPS, password hashing, and row-level database security. Despite these measures, no online platform can guarantee absolute security.
10. Data Retention
We retain account and platform data while your account is active and for a reasonable period afterwards to allow account recovery and comply with legal obligations. You may request deletion at any time.
11. Your Rights (UK GDPR)
You have the right to: access your personal data; correct inaccurate data; request deletion; restrict processing; data portability; and object to processing based on legitimate interests. 12. International Transfers
Some processors (e.g. Supabase, OpenRouter) may process data outside the UK. Where this occurs, appropriate transfer safeguards apply in accordance with UK GDPR requirements.
13. AI Features
Data submitted to the AI assistant is processed by our AI provider (OpenRouter/DeepSeek) to generate responses. Do not submit sensitive personal data through the AI assistant. AI outputs are not stored on our servers beyond your session.
14. Children
MANO is not intended for users under 18. We do not knowingly collect data from minors.
15. Changes to This Policy
We may update this policy periodically. Continued use of MANO after changes constitutes acceptance of the updated policy.
